🆕 Field Access: now includes activity, notifications, views and exports

Choose which fields people see and which values they can change. This lets your team work in the same database, with different fields available to different people. Field Access works in form apps too.

Field Access starts with two simple settings:

  • Can view: Who can see the field and its value?
  • Can edit: Who can change its value?

For example, let everyone read an approval status, but only your project leads change it. Or show your team’s subtasks to workspace members and hide them from guests.

By default, fields inherit the access settings of the database app. Field Access lets you add limits for individual fields. These apply to all records in the database or to the fields in your form.

Field Access is included in Premium at no extra cost.

:books: Set up Field Access

  1. Open your app and click ••• in the top-right corner.
  2. Select Customize record layout for a database or Unlock form for a form.
  3. Hover over a field and click the ⋮⋮ handle.
  4. Select Edit field, then open Access.
  5. Choose who Can view and who Can edit.

Can view and Can edit each offer four options:

Option Who it includes
Everyone Everyone with access to the app
Excluded Everyone except your selection
Selected Nobody except your selection
Nobody No one

With Selected and Excluded, you can combine selections from:

  • People: Individual people, such as Matt or Will.
  • Groups: Teams you’ve created, such as Sales or Marketing.
  • General: Workspace admins, workspace members, guests, or public link.

For example, let your Sales group see the Discount field on a deal, while only the sales lead can change it:

  • Set Can view to Selected and choose your Sales group.
  • Set Can edit to Selected and choose the sales lead.

:sparkles: What’s new

Field Access has been available in Tape for a while. Now, it also applies to more places in your daily work. When someone cannot view a field:

  • Record activity: Changes to the field don’t appear in the activity panel.
  • Notifications: Changes to the field don’t create notifications for that person.
  • Database views: The field is hidden in table, board, and list views.
  • Group by: If a view is grouped by that field, the grouping is hidden from that person.
  • Export: The field and its values won’t appear in their exports.
  • Menus: The field is hidden from menus, including Filter and Sort .

So if guests cannot view your Subtasks field, they also won’t see activity entries about completed subtasks or receive notifications about those changes.

:bulb: A few things to know

Primary fields stay visible.
You can limit who can edit a primary field, but you cannot hide it with Field Access. Tape uses it as the record’s title in places such as Favorites, Home, and relation fields.

Admins can still find hidden fields.
When using Customize record layout, Unlock database, Unlock record, or Unlock form, hidden fields appear faded. Admins can still find them and adjust their Field Access settings.

Hidden fields cannot be selected for grouping.
In an unlocked database, they still appear in gray in the Group by menu. For example, a hidden Status field remains listed, but cannot be selected.
