We are starting being benefited by the Guest User feature.
Our client will bring Guests inside dashboard applications, though we noticed some issues from the Guest PoV:
In the Guest “Home” space, they can see all the team that is inside the workspaces. In terms of privacy, it is a problem, as some guests should not have access to the list of active users. Is it possible to change / Set-up? This “My team” container is actually not useful, as no actions are possible over this list, only viewing the name (not even a profile or starting a new message). If its possible not to show it for Guests (and disable the function to show it again), it would be much better for the purpose we have for Guests. And for general use, it would be good if it was possible to start a private message or see profile for this “my team”, then it would make more sense to have this conteiner.
Even though we have shared to the Guest all data inside the same workspace, and this workspace is set viewing as Tab bar, the guest always sees the apps in Side-bar. Is there a way for guests to see the apps side by side in tab bar? Just to make sure I understood well, guests can only be added to App and Record level, once the guest is added into the Workspace level, they will turn into member (paid), right?
Related itens view on Records - If we share an app with a guest, we hope he is able to see all the information that compose records at this app. We noticed, though, if there is a relation field, related to an app which guest has no access, the value is not shown for the guest. It will lead us to make calculated fields for every shared app relation field, which would increase the number of fields and would make the record poluted for Members (those who have to deal with the data, editing).
Please let me know if those appointments make sense, or if I am missing any config at tape to set those…
You’re absolutely right—there’s an update pending for the Team Box, which is scheduled for January. Regarding the display of all users in the Team Box, I’ll need to take a closer look. This functionality is closely tied to how we track which users a guest interacts with through shared apps or records. It’s possible that the guest is in an app where the organization’s access level is set to “Everyone in Organization” with at least “Can View” permissions. In such cases, the guest requires access to these team members to, for instance, select them in the Member field or use @-mentions. I’ll investigate further.
That’s correct! A key characteristic and limitation of guests is that they cannot be members of a workspace. Since they’re not part of the organization, they cannot utilize onboarding processes like default workspaces. The Tab-Bar view is a workspace-specific setting, which is why guests are limited to the Sidebar navigation. However, you could create a dashboard with app links to make navigation more streamlined for your guests.
For this use case, we recently released a new feature. At the app level, you can now configure whether members of your organization, and optionally guests, are allowed to see the titles of records and link relationships—similar to how it worked in Podio. In Tape, you have the added advantage of restricting visibility for sensitive records where the title might be confidential. You can disable this feature to protect those records. I see those as minor issues, and the solutions you bring here made my mind open on how we could deal with those issues.
So, I just messaged you about another issue regarding Guest PoV, and I think it would be good to publish it here also, as more users can be facing this issue:
when we share itens and we set the app to be shared to everyone with shared content, the itens group on the side bar, showing the app icon instead of a list of itens, thats nice… when the Guest access the app icon, it is possible to see the app structure and views, filtering only the qtty of records shared with that Guest (I used Jason’s solution mentioned here - thats nice - but the issue is that the tables and boards on that view are not loading the data… So people actually do not have access to their data from the link. they have to go for the email they received when the item was shared in order to access it…
I think this is a bug issue, but maybe I have done something wrong… would you guys be able to track it and help us debug this situation, so we can trully start Guest using?
Update: Tape team, again, was able to solve the bug!
It validates totally the concept of guests viewing in an app perspective only the records they should able to see (when single records are shared to guests) without losing filter and view features from the app.
Now its possible to create and share records in third apps from automations on the first shared record (like butons to create itens in other apps in which this user is guest).
Just in case, another related feature that could be validated around Guest perspective would be the dashboard restrict view - we hope to validate it next week, any issue i’ll be here again!
