[โœ… Solution] Migration of Relationship Fields

Hi all

we are looking into migrating from Podio. I might miss a post or instructions as this seems to be a problem many face. I am looking into migrating multiple apps including the respective relationship fields. Is this possible or do I have to connect them manually again?

Thanks and sorry if I missed a post.

Hi @rone,

first of all great to meet you and a very warm welcome to the Tape community!:tada:

Really happy that you are migrating from Podio to us and thanks for addressing the challenge with relations and the relation fields. The challenge is indeed often faced by users migrating, so itโ€™s super valuable to describe the solution in the community.

And there is actually already a solution for this. And that is our very powerful import.

You can create in the first step with an export from Podio directly a new app with all fields and category options if you click on create new app on import.
In the second step you can import data to existing apps by clicking on the 3-dot menu in the upper right corner and after successful field mapping select the update option in the duplicates menu to update the relation to existing records instead of creating new ones.

As a best practice i would recommend to test with a small amount of data first and once everything is set up correctly and working, then import with larger amounts of data. You can restore your last field mapping and your other settings in the 3-point menu of the import.

But here is a classic example of how to link contacts to existing companies:

  1. Start the import in the 3-dot menu in the contacts app at the top right.

  2. Map the name of the company from the contacts excel with the name field from the related company app. You can see the successful mapping in the live preview.

  3. In Duplicates select the Update option, this will ensure that no new companies are created when the company name is found but only the relationship with the contacts is added.

I hope with these short tutorial you can successfully relate your data when importing.
For more advanced cases with existing data, there is also the possibility to create relations using the automations with a manual run on all data. But usually the import with the update option is the simplest and easiest way for most users.

If you need further support then please contact us anytime.

Cheers

And, of course, thereโ€™s no need for any thanks. Thatโ€™s exactly what weโ€™re here for!

Hi @Leo

following up here as I feel it is related. I am afraid I know the answer but just to double-check: there is no way to migrate file attachments from Podio to Tape - right?

Thank you and all best

Hi @rone,

with regular tools like export and import itโ€™s unfortunately not possible. Basically itโ€™s possible to get all files with required information from a Podio workspace via the Podio API (Files | Get files on space - Podio API Documentation), these can then be uploaded or transfered to the correct records because of the reference information. Without advanced development skills this is however difficult and time consuming to implement.

But Iโ€™ve got great news for you. Our partner @jacquelynmay and her team are currently working hard to provide a migration tool that makes this possible. So you should soon be able to migrate your files to Tape easily.

Cheers
Leo
