🆕 Shared section

Created for guests to easily find their way around Tape and can be used by members who do not have access to a workspace.
In these cases, the workspace names are not shown in the left sidebar. Instead, the names of shared records or apps are displayed in the “Share” section.

hey @Leo - we have noticed this Shared section works great when an entire app is shared to a user or guest.
But when only a single record it shared, that doesn’t show up in the Shared section.
Use cases such as an HR Management app where we don’t want to share the full app, but we do want to share that individuals personal record so they can update important data.
Once the initial notification stating ‘XYZ item has been shared with you’ is read and gone,
then navigation to that record seems to disappear and can only be found if they remember it exists and search directly for that item by record name.

Can we get individual items to appear in this shared section the same as shared apps do?

thanks a lot for raising this and for the clear description. I just checked into it, and in principle, the Shared section in the Organization sidebar is exactly designed for single-record sharing. So yes – you can share individual records, and they should then appear in the Shared section in the sidebar.

There are a few exceptions, though: if you have enabled the option in the app to show shared content directly within the app, then the user will see the full app shared – even if you only shared individual records. Also, if the user already has some app-level permission through another path, they will automatically see the complete app with those shared records.

But if the user does not have access to the app itself, then the shared record should appear in the Shared section. If this isn’t happening on your side, then it’s definitely an issue, and it would be super helpful if you could invite us into the organization so we can take a closer look.

This is the menu you find in an app’s Share Settings. Here you can define whether users see individually shared records in the Shared section of the sidebar, or directly inside the app view.

Here you see an individually shared record. This shows that it’s normally available and works as expected.

certainly helped. That ultimately got us to the result we were looking for.

We do still see some instances where an app doesn’t have that setting, and an individual record gets shared but never listed in the shared section. I will send you a DM with more specifics on workspace details and examples there. But this was still a big help. Thanks!
